There will also be a compulsory online meeting this Friday, 19 July 2024 as one of the condition to participate in this committee.

Event Overview:

The primary aim of this event is to "make Islam seen" by showcasing the beauty of Islam and demonstrating how we celebrate our Prophet through the Mawlid. Conducted entirely in English and featuring performances by children, we will highlight the richness of Malay traditions through Dikir Barat, Kompang, and Silat performances. Additionally, the children's purity and virtue will be showcased through their recitations of the Quran, Mawlid and Qasidahs. This Mawlid will also foster inclusivity by welcoming non-Muslims, promoting unity and understanding.

The theme for this event, known only to committee members, is “We want Islam to be seen.”

THE CALL:

We are forming a dedicated committee to oversee essential tasks for this event. With less than two months to plan and execute, we are seeking members with expertise and experience who can commit time to spearhead and manage their roles effectively. Please ensure you state your expertise accordingly for us to quickly identify the right people for the tasks.

If you are unsure of being able to dedicate the time and energy to be a committee member, we are also welcoming those who wish to volunteer on the event day itself through hands-on assistance, resources, skills or financial means by selecting the option below.


The available roles are as follows:

    • Confirm venue setup, including seating arrangements, stage design, and decorations.

    • Ensure accessibility with provisions for wheelchair users and senior seating areas.

    • Plan and arrange the lineup, sequence, and path for the Flag March.

    • Coordinate the seating arrangement implementation for forming words during the torchlight segment.

    • Arrange transportation and parking logistics for VIPs and performers.

    • Engage photographers and videographers, including drone operators.

    • Set up for live streaming of the event.

    • Engage copywriters to create content and press releases about the event.

    • Promote the event extensively through various channels, including social media platforms.

    • Ensure clear signage, posters, and informative materials for attendees.

    • Create a standard logo and color theme for the event.

    • Design lanyards for staff, VIPs, and other participants.

    • Design and create flags for the event, liaising with participating groups to obtain their logos and ensure all flags are ordered in a unified size.

    • Design and purchase small banners or signage for all attendees to show love for the Prophet.

    • Organize the design and ordering process for plaques of appreciation to recognize participating organizations: “Thank you for your service to the community and for participating in the Mawlid Junior 2024 event”.

    • Purchase torchlights for distribution to all attendees.

    • Identify potential sponsors and funding sources.

    • Reach out to businesses, organizations, and individuals for sponsorships and donations.

    • Track and manage sponsorship funds and contributions.

    • Coordinate with the Hospitality department to ensure sponsors receive appropriate recognition and benefits.

    • Discuss the feasibility of including sponsor leaflets in the event's goodie bags versus creating a single booklet, considering time constraints.

    • Provide updates on sponsorship status to the main committee.

    • Identify Guests of Honor (GOH) and VIPs.

    • Identify organizations and Islamic centers to invite.

    • Determine the limit of invitees per organization.

    • Personally call invitees.

    • Create and send out invitations respectfully by hand.

    • Follow up via phone and email to confirm attendance.

    • Send out reminders.

    • Engage vendors for sound and lighting services.

    • Ensure all audio-visual equipment is set up and tested.

    • Coordinate with the technical team to handle lighting, sound, and projection.

    • Organize food and refreshments for volunteers, performers, VIPs, and attendees.

    • Prepare and finalize the contents of the goodie bags for all attendees.

    • Prepare gifts, certificates, or tokens of appreciation for sponsors, volunteers, VIPs, and performers.

    • Coordinate with the Design and Materials committee for gifts for organizations participating in the event.

    • Plan and schedule the presentation of gifts for all recipients.

    • Handle registration of all attendees, from online registration on revamp.sg to on-site registration during the event.

    • Ensure all goodie bags for children/attendees are prepared and ready for distribution, in coordination with the Hospitality committee.

    • Manage the distribution of small banners and torchlights to all attendees.

    • Oversee crowd control measures during the event.

    • Coordinate activities at various booths.

    • Arrange and maintain the prayer corner and facilities.

    • Ensure clear signage for toilets and other facilities.

    • Enhance sensory experience with Oud bukhoor, perfume, etc.

    • Estimate the overall number of volunteers required.

    • Recruit and train volunteers to assist with various tasks such as ushering, registration, and backstage management.

    • Ensure lanyards are prepared and available for all involved volunteers and staff.

    • Identify and invite groups for Dikir Barat, Kompang and Silat performances.

    • Engage and coordinate with performers in rehearsal timings.

    • Manage contracts and agreements.

    • Handle all performers' logistics and needs.

    • Manage booth setup and logistics.

    • Decide on booth rentals and associated costs.

    • Coordinate with booth vendors for setup and requirements.

    • Set up photo booths.

    • Manage booths for service registration provided by Junior Seekers and Revamp.

    • Coordinate volunteers to explain the services offered (promoters).

    • Design, order, and oversee the sale of items and goods by Junior Seekers and Revamp at the booth.

    • Explore the potential of engaging children as "young entrepreneurs" to enhance customer engagement and interaction.

    • For open discussion between Junior Seekers and Revamp.

    • Discuss and implement strategies for mobile donations.

    • Provide assistance for the running of the event.

To answer the call and come forward for the sake of Rasulullah s.a.w., please register as a committee member and indicate your preferred roles in the registration. An initial compulsory discussion meeting will follow. Details for the Zoom meeting will be shared upon registration.
